Reports and report types
Study topic 6.3: Report formats, standard and custom report types, filters, bucket and formula fields, folders, and record access in reports.
On this page
A report is a question asked of your data. The report type decides which records and fields are available, the format decides how they're grouped, and filters narrow the result. Reports only show records and fields the running user is allowed to see.
Report formats
- Tabular: A simple list, like a spreadsheet. Good for exports and lists of records.
- Summary: Rows grouped by one or more fields with subtotals, such as opportunities grouped by stage.
- Matrix: Grouped by rows and columns, such as revenue by region and quarter.
- Joined: Several report blocks side by side (up to five), each with its own report type and filters, sharing a common grouping.
- Charts need groupings, so a chart on a report requires a summary, matrix, or joined report.
Report types
- Standard report types: Created automatically for standard objects and for custom objects with reporting turned on.
- Custom report types: Define a primary object and up to three related objects, and which fields are available. Use them when standard types don't have the objects or fields you need.
- With or without related records: "A with B" shows only A records that have at least one B. "A with or without B" also shows A records that have none, such as accounts with or without opportunities.
- A custom report type can't be used until it is deployed. After it is saved, the primary object can't be changed, but you can still add related objects.
Building the report
- Filters: Standard filters (show me, date range), field filters, and filter logic such as (1 AND 2) OR 3.
- Cross filters: Filter by the existence of related records, such as accounts without open cases.
- Bucket fields: Group values into categories without changing data, such as sorting accounts into small, medium, and large by employee count.
- Row-level formulas: Calculate a value per row, such as days between created date and close date.
- Summary formulas: Calculate on grouped totals, such as win rate or percent of total.
- Hide details: Show only the groupings and totals, which suits summary views and dashboards.
Folders and access
- Report folders: Shared with users, roles, or groups as Viewer, Editor, or Manager. Reports a user doesn't share stay in their Private Reports folder.
- Record access applies: A report shows only the records the person running it can see, and only fields they have field-level security for.
- Subscriptions: Users can subscribe to a report to get it by email on a schedule, optionally only when conditions are met.
